1. What is Web Based ERP?
All the resources of a company are planned. Every system and method of working is planned. From the Security Gate entry, Stores, Production Planning, Production, Factory, Quality Control, Inspection to the Godown

To Various levels of Management, Marketing and Advertising, Sales, Accounts, Personal department, purchase department, Documentation, shipping Etc., resources are pre-planned.

If a person takes one thing from a place, he has to explain his action- Web based erp is to get the best out of every single individual and make everyone responsible for his/her own actions. It makes the work of the sincere worker easier and more effective. It forces a casual worker to become responsible.
Eg:-
When a lorry comes with some goods to the factory, the security enters the LR in his system , with date/time, commodity, quantity, quality and allows the lorry inside the factory.

This entry is registered in the system. When the goods are inspected and unloaded at the purchase department, and stores in-charge, he makes an entry after checking the right number. The number mentioned in the invoice and the actual number received. When its issued, from the stores, its recorded. When it travels to various departments like machine shop, job workers, it carries its own origin number or lot number which corresponds to the lot which was received in the lorry.

Now the material is worked upon in the machine shop. So the total time the worker is working on a particular job is recorded by the works manager in his system. How much material was used, the quantity of the finished product, and what is wastage, every thing is logged.

Then the factory manager ensures all the materials are collected from job workers or different departments and brought to quality control for  inspection. Again it carries its paper with the lot number.

Now it goes to the stores, invoiced and shipped. So the invoice goes to the accounts, outstanding goes to the marketing and sales departments for follow up.



2. Why erp is needed?

Web ERP brings all the single details of the functions of an enterprise into the database. Scientific planning and management is possible because of  scientific collection of data . It increases productivity, as a result increases the profit of the company.

3) Why web based erp?

Web erp is cheaper (Low Cost ) because...

    * The usual erp software packages costs several lakhs or crores of Indian Rupees. Its really not possible for a small or medium based company to buy and implement the erp software in their factory or office.
    * Web erp can be purchased in small bits and pieces - section wise computerization. So it becomes easy for the companies to purchase and implement them. Most of the erp packages are available in full packs only and most of its sections are unused in the companies who had already implemented them.
    * Web erp can be maintained by the company who developed it - online. So it becomes more effective and best service is guaranteed to all buyers. Its yearly maintenance becomes cheap. Erp packages are highly technical and it takes lot of work to customize it to the local company's need. Hence after big time and money spent on implementation, the people who did it have to be hired at high price for further yearly maintenance. Hence the cost shoots up and becomes unmanageable for the companies at one point of time.
    * Web erp is both offline and accessible online. Hence in a globalized market, the ceo is given the convenience of making even his hotel room, or the loving home desk his convenient office table just by hooking up his laptop to the net.

a) Sales Executives management System (SEMAS)

This division deals with Management of sales and support executives, traveling throughout the country. Their report is received in a specific format and reviewed at the Head office.

The chief executive who is also traveling, is able to view the reports and give further instructions to a specific group or single executive in the touch of button. All the communications done by the chief to the executives or the head office to the executives is logged and viewed by the chief executive in the form of reports.

b)Bulk mailing Solution (BMS)

What is bulk mailing? Bulk mailing is just like the old method of sending introduction letters. No one has ever objected to receiving introduction letters. Only now they are objecting to spamming because its too much misused. Not sent to the right kind of audience. Collect mail ids of companies and individuals who will be interested in your product and services from various sources. Add them into online database, Type your matter once, just press send, the messages goes to the respective people as if you sat and sent to them one by one.

It will not show all the email ids for which you have sent the mail - that's where you get the wrath of the reader.

Every company is having its own target audience of customers who can be converted into customers. Indian companies are yet to find time to fix a person to constantly collect the email ids, and do targeted emailing.

c)Manufacturing and Export management system. (MANSYS)

"A customer commented like this:- "sir all our staff work and complete their work by the end of the day, and when they leave in the evening, our overseas customer calls and ask us for so many details. The information is in somebody's mind or somebody's table. - we are not able to answer the customer - so we need a system which will give all the information to the customers online - he should not ask us anything - he must just log into our online system and learn everything about the status of his order"

This requirement explains to us clearly why we need Web Based ERP ?

How to do this:-

Ø He needs a computer in all tables. Usually there is already computers in all tables. The same computer can be used for this purpose also.

Ø He needs to be connected to the net at least 12 hrs a day. Most of the countries, now the internet bandwidth is available as fully connected for 24 hrs for a small payment (Broad Band). In India most of the cities are connected for 24 hrs for very less price and high quality bandwidth.

Even if the 24 hrs connectivity is not available, still a dial up connections with a 56kbps modem is more than enough to run this web erp solutions in an office.

Ø All his information have to be stored in an online server. The information will be stored in a fully secured data center, Fully taken back up every hour. So the information are much safe in a remote location ,in fact even a better security than our own local computer.

Ø All his staff must be compelled to work on the system and the system must compel them to answer the important question the customers may ask. The staff must answer the question the weberp will ask them. If they answer yes or no is not enough, they need to give more details for both as they will answer the customer over phone.

Ø All the workstations will get reminder of the work to be done today:- The weberp system will remind the staff to complete the work he should finish before the end of the day. Even if the work of the day is fixed one month back, it will remind correctly and also if the work is already over, it can be entered so it does not remind again.

Ø All internal messages are recorded:- When a staff while trying to executive his work, he will need the help of the other staff, he finishing the work may depend on the other man completing his part. Now the other man may delay or tell some excuse to delay his part. But here in web erp, if he tells some excuse, it is also recorded. Web erp has a internal messaging system.

Ø All internal messaging and replies are timed:- The system will also take into account how much time the person has taken to reply to a query. How many minutes, hrs, days and months.

Ø All the divisions are fully connected Management, sales, documentation, Shipping, Factory etc. etc. So all the information needed by the customer are available online, the management and sales divisions can concentrate on more such sales and avoid talking to customer again and again for the work which they have already completed. The company gets a good name that "what they promise they deliver it on time" If this time factor is not taken care, its very hard to stand in the international market.

So the web erp, brings discipline among the staff, gives a great image to the company, Earns a good name from the clients, and most important BRINGS MORE BUSINESS TO THE COMPANY.
